PhysioWorks is a locally owned physical therapy clinic with a strong focus on functional outcomes and helping people get back to work and life. We are looking for a dependable, people-first Front Desk Position to help run a smooth, welcoming, and organized clinic day, and to keep front-office systems tight and consistent.
What you’ll do
You will be the first point of contact for patients and a key support for clinic flow, scheduling, communication, and day-to-day operations.
- Greet and welcome patients promptly, create a positive first impression, and represent PhysioWorks professionally
- Direct patients to the appropriate staff member and treatment area
- Manage scheduling: update calendars, schedule patients and meetings, add patients to the wait list as needed
- Perform a daily schedule-gap fill routine (outreach tied to cancellations) to stabilize the schedule
- Answer, screen, and route phone calls, and communicate with patients via phone/text/email as needed
- Manage intake and initial evaluation documents (outcomes, imaging, insurance breakdowns, intake forms)
- Collect payments (copays, deductibles, cash plans, missed appointment charges) and handle receipts
- Deposit checks weekly; scan bank transaction receipts
- Scan forms weekly (or sooner if urgent), and scan mail into Dropbox
- Receive, sort, and distribute mail/deliveries; complete basic filing, photocopying, faxing, and other clerical tasks
- Order and supply braces/DME items for the clinic; track office supply needs and expenses
- Keep the reception area tidy and stocked (forms, brochures, pens, etc.)
- Support clinic cleanliness and safety with light cleaning (vacuuming, trash, floors, wiping equipment, sanitizing breakroom/restrooms)
- Protect patient privacy at all times (HIPAA-compliant handling of documents, screens, conversations, and digital communication)
- Participate in team huddles, trainings, and process improvement efforts
- Create birthday cards monthly for current patients
- Provide regular updates to the Clinic Director and offer operational input (staffing flow, safety considerations, patient needs)
- Perform other tasks as assigned by the Clinic Director
- Confidently multitask across multiple software platforms based on clinic needs
What we’re looking for
- Friendly, calm, and professional communication, especially under pressure
- Strong organization and follow-through, you catch details and close loops
- Comfortable with computers, learning new systems, and switching between platforms quickly
- Confidence handling payments and basic financial processes (receipts, deposits, scanning, tracking)
- Ability to maintain confidentiality and follow HIPAA standards consistently
- Team-first attitude and willingness to improve systems (not just “get through the day”)
- Prior front desk, medical office, scheduling, or customer service experience is preferred (but not required with the right fit)
Schedule and position details
- Part-time position in range of 5-15 hours a week (hours/days to be determined based on clinic needs) with opportunity for increase in hours if need arises.

Compensation: $17.00 - $23.00 per hour
PhysioWorks is a unique clinic that delivers Physical Therapy and Occupational Therapy services, with a focus on functional movement and an emphasis on patient education. Our principal focus is the rehabilitation of the injured worker.
Our clinics service all types of orthopedic conditions, including but not limited to orthopedic injury foot and ankle, knee, shoulder, lower back pain, hand therapy, balance issues, deconditioning and vestibular issues. We are also experts in the workers’ compensation process for the injured worker.
The occupational therapy component of the rehabilitation team guides the worker in the replication of the actual job requirements through job simulation activities.
Our patients receive custom, one on one programs with personal and online support to create a successful rehabilitation plan. We communicate with the physicians, vocational counselors, and case managers to keep all concerned informed on the patient’s progress, treatment plan, and discharge goals.
